How to Evaluate a DME Lead Provider: The 12-Point Checklist

By Abhishek Gupta, Founder & CEO  |  September 30, 2026

The DME market is big, and lead sellers have noticed. Grand View Research projects the US DME market at $72B by 2028, and the demand behind it is easy to see: the CDC counts more than 53 million US adults with arthritis and more than 38 million with diabetes. More demand brings more providers selling leads to call centers, and from the outside their offers look alike. They are not alike.

Finding the best DME lead providers for call centers comes down to asking every seller the same twelve questions and comparing the answers. This checklist is what we would run if we were the buyer. Run it on every provider you consider, including us. Our DME leads are the files we can speak for, and we would rather you test us against the list than take our word for it. Get every answer in writing.

Prove the Data Is Real: Points 1 to 3

1. Verification method. Ask how records are verified, at what stage, and what share pass. A provider that cannot name the method and the pass rate is guessing. Ours is SNS verification, and 85% of records pass.

2. Coverage screening. For insurance-billed DME, the sale only works if the person has coverage that can pay. Medicare.gov says Part B covers braces (knee, back, neck) as durable medical equipment when medically necessary, so ask how the provider screens for coverage and whether that answer travels with the record. A lead who simply has Medicare is not the same as a lead who may qualify.

3. Consent documentation. Every phone record we deliver is DNC-screened and comes with consent documentation, and you should ask any provider to show you a sample: what the consumer agreed to, when, and on which page. The FTC runs the National Do Not Call Registry, and FCC rules under the TCPA govern prior express consent for autodialed or prerecorded calls to cell phones. A weak answer here should end the conversation.

Know What You Own: Points 4 and 5

4. Exclusivity terms. Ask whether a record goes to one buyer or several, for how long, and whether that is written in the contract or only on the sales page. Exclusive means one buyer; shared means you are racing others to the phone, and the price should show it. Our real-time exclusive format is built for buyers who want to be the only one calling.

5. Replacement policy. Read what counts as a bad record, how long you have to report it, what proof is needed, and whether you get a replacement or a credit. Our 100% file accuracy guarantee is backed by a replacement policy for verified bad records. Vague wording here is a warning sign, because you only learn what it means when you have a dispute.

Read the Label: Points 6 to 8

6. Recency labeling. Every file should say how old it is and what the date means: when the consumer inquired, or when the record was last verified. Our fresh verified files average a 42% contact rate against an 18% industry norm for recycled data, so a provider who blurs the two is hiding the difference. Aged 30-90 day data has a place at a lower price, as long as you know you are buying it.

7. Category tagging. A knee brace lead, a back brace lead and a general DME lead start different conversations. Ask that each record carries the category the consumer actually asked about, so agents open with the right script and your supplier's documentation matches. Our knee brace leads and back brace leads are separate files for that reason.

8. State filtering. Confirm you can buy by state, and that the filter uses the consumer's address rather than the phone's area code. The states your supplier can serve decide where a lead has any value, and paying for the rest is waste. With 300+ custom data filters available, state should be the easy part.

How It Arrives and How You Test It: Points 9 and 10

9. Delivery mechanics. Ask how records reach you (real time, batch file or live transfer), which fields come with each one, and how quickly. Match the format to your floor: live transfer needs agents standing by, while a targeted data list can be loaded when your dialer is ready. Data loses value while it sits in an inbox.

10. Test-batch policy. Ask whether you can start small, how a test is priced, and how it will be judged. Set the yardsticks before the batch arrives: contact rate, category accuracy and bad-record rate. If you test two or three providers, use the same batch size, script and agents, or the comparison tells you nothing.

Price and Proof: Points 11 and 12

11. Pricing transparency. Ask for the price by format, plus any minimums, setup fees or extras. The number that matters is cost per usable record: what you paid divided by the records your agents could actually work. A cheap record that fails verification or cannot be called legally costs more than a fairly priced one that connects.

12. References. Ask for references from call centers in the same category and of similar size, and ask them about the replacement process specifically, because that is where a provider's behavior shows. More than 500 call centers buy from us across 20+ verticals, and you should still call a reference before you sign with anyone.

Frequently Asked Questions

Who are the best DME lead providers for call centers?

The best provider is the one that passes this checklist for your category and your states, with answers in writing. Compare two or three on cost per usable record and contact rate rather than headline price. We have served call centers since 2005 and are glad to be measured against the same twelve points.

Are exclusive DME leads worth paying more for?

It depends on your close rate and your cost per contact. Exclusive records mean nobody else is calling the same person, while shared records mean you compete on speed. Test both in equal batches and compare cost per completed sale, not cost per record.

What should a fair replacement policy include?

It should define a bad record, such as a disconnected number or the wrong person, set a reporting window, state what proof is required, and say whether you receive a replacement or a credit. Ours is a 100% file accuracy guarantee with a replacement policy for verified bad records.
